![]() To update the Multilex Drug Data File (Multilex DDF) with all the appropriate information about new products to provide GPs, Pharmacists and Hospital clinicians with as timely and accurate data as possible, the Knowledge Base Services Department (KBS) of First DataBank Europe Ltd (FDBE) follows the schedule outlined below.
Addition of products containing new active ingredients or a new combination of existing ingredients to Multilex DDF
These products are included in the datacut at the end of the month in which the product is launched. A product that has been launched (ie. one which is available from wholesalers) for example, on 20 November will be included in the datacut at the end of November/beginning of December.
A product may be included on the database with a status of 'not launched' (ie not available on picking lists) one or two months before the launch date if the data (including SmPC as approved by the MHRA) is available (please see below). This facilitates planning the work flow and allows time for any queries to be resolved. As much notice as is reasonably possible is appreciated.
In general, all launched products for which completed data is received before the 21st day of the month, will be included in the datacut at the end of that month. However, if other work permits, it may be possible to add a product as late as five working days before the end of the month.
Addition of new brands of existing active ingredients/new strength of existing brand (generic already included) to Multilex DDF
As above – these products are normally added to the database at the end of the month in which they are launched. If minimal clinical changes are required to either the clinical coding or the Multilex monograph, these can also be added as late as five working days before the end of the month if all the necessary data is received (please see below).
Addition of branded generic products/customer products (eg pharmacy own brand products)/parallel imports to Multilex DDF
These products are linked to existing Multilex DDF generics with no additional clinical checks. All products are added before the end of month in which the company is notified of the launch of the product, provided that complete data is received five or more working days before the end of the month (please see below).
Addition/discontinuation of packs and price changes to Multilex DDF
These changes are normally completed in the month in which the information is received. However, if this is three working days or less before the end of the month, the requirements for preparing the datacuts are such that the changes may not be completed (please see below).

Please note that all information supplied to us is strictly confidential and nothing is released until officially launched and set to 'live'.
Once all changes have been made to Multilex Drug Data File, quality assured and set to 'live', the new data set is distributed to system suppliers for integration into their software and distribution (Customer list).
